Introducing GroupGrid

Today GroupGrid is live. It does one thing, and it does it well: it takes every attendee on your event and checks their registration against their flights, hotels, and transfers, so the gaps show up on your screen before the event instead of at the front desk at midnight.

Why we built it

Every event has one person quietly responsible for making sure the travel all lines up. In my first job that person was me, and I did it with a ruler and printed rooming lists, dragging my finger across the page to make sure the flight matched the room matched the transfer. Later I outsourced it and had vendors helping, and the gaps still slipped through, just later and more expensively. A VIP would land with no room booked. Someone would fly into the wrong airport. A flight would arrive the day after check-in and nobody noticed until the guest was standing in a lobby.

The problem was never any single list. Registration was fine. The flight manifest balanced. The rooming list added up. The trouble lived in the space between them, and no tool was looking there. So we built the tool that looks there.

What it does

You upload what you already have, any two or more files, in the formats you already use. GroupGrid puts everyone on one grid and checks each record against the next. In about a minute it tells you:

• Who registered but has no booking
• Who is booked but never registered
• Whose flight, hotel, and transfer dates do not line up
• Who is flying into the wrong airport or falls outside your approved travel window

The people who are fully aligned are cleared. The short list that needs you is flagged, with enough detail to fix it in a two-line email while it is still easy. That is the whole idea: catch the problem while it is small.

Built to keep your data yours

Your guest files are read and cross-checked entirely in your browser. They are never uploaded to our servers, and we never see them. The sensitive part of your data stays with you, which is exactly where it should be.
